Administrative Assistant - Public Services

Job Summary
Answer and route incoming calls, resolve complaints, and schedule appointments for the Public Services Department's Administrative Office and Code Enforcement unit. Prepare meeting minutes, agendas, legal documents, and correspondence while maintaining departmental policies and processing invoices. Support the Code Enforcement Board and other city boards by transcribing audio, distributing minutes, and attending evening meetings. Provide information to the public and vendors, manage mail, purchase supplies, and assist with City Hall reception coverage. Requires bilingual proficiency in English and Spanish, Microsoft Office skills, and 3+ years of administrative experience.
Required Qualifications
- High School Diploma or G.E.D. equivalent
- Associate Degree preferred
- three (3) years of progressively responsible administrative and/or office management experience
- Equivalent combination of education, training, and experience
- Demonstrated proficiency in the use of Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint)
- Ability to accurately type 40 words per minute
- Ability to transcribe dictated material completely and accurately
- Bilingual proficiency in English and Spanish
