Job Summary
Manage standard clerical tasks while cross-training on executive support duties, stepping in seamlessly to assist senior leadership when the primary EA is out. Handle executive calendars, urgent requests, and confidential communications, and coordinate internal meetings, flights, hotels, and ground transportation. Prepare and track monthly expense reports, greet visitors, answer phones, and maintain digital and physical filing systems. Format presentations, print materials, set up conference rooms, and take detailed meeting minutes. Complete ProLift Specific, Regulatory, and Identified Equipment training through the internal LMS system and attend workshops to improve efficiency. Actively pursue information on the company, customers, competitors, and products to ensure alignment with work culture and promote core values.
Required Qualifications
- H.S. diploma and associate degree for an administrative assistant professional
- 2–4 years of administrative and clerical office support experience
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace
- Strong written and verbal communication skills with a professional demeanor
- Be proactive in maintaining meticulous attention to details to elevate workplace efficiency
- Proven ability to handle sensitive corporate information with complete confidentiality
- Flexibility to shift priorities quickly when stepping into the executive backup role
- High School diploma or equivalent
Desired Qualifications
- Previous experience directly supporting a manager or assisting an executive team
- Familiarity with expense management software (like Concur or Expensify) and calendar management tools
