Job Summary
Administrative Assistant responsible for performing a variety of administrative and accounting tasks to ensure smooth operation of the business location. Duties include handling AP/AR, processing invoices, updating timekeeping, preparing daily deposit reports and reconciliations, coding invoices for payment, researching issues, receiving payments from client families, scheduling appointments, composing correspondence, compiling and reporting statistics, data entry, maintaining files, serving as timekeeper, coordinating office supplies and equipment, and providing backup support for administrative functions. Requires strong communication, customer service orientation, teamwork, and attention to detail; proficient in Microsoft Office; ability to interact professionally with client families in emotionally charged situations; travel up to 10% may be required.
Required Qualifications
- High school diploma or equivalent
- Minimum two years administrative or general accounting experience
- Valid state-issued driver’s license
- Ability to read, write, and speak English fluently; bilingual a plus
- High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Proficiency with multi-line phone systems and general office equipment
- Ability to manage multiple projects and maintain attention to detail
