Job Summary
Provide administrative and office support for the ESL department: handle inbound calls, assist with student enrollment and recordkeeping, translate/interpreter duties between students, school, home, and community, translate school documents with the Parent Liaison, manage filing and document preparation, schedule meetings, prepare agendas, coordinate office operations, and participate in parent engagement activities; role requires ability to perform heavy lifting. The position is permanent, full-time, 8 hours per day, benefit eligible, reports to the Chief of Federal Programs and Student Support, with salary per state schedule.
Required Qualifications
- high school diploma
- computer skills and knowledge of relevant software
- knowledge of operation of standard office equipment
- knowledge of clerical and administrative procedures and systems such as filing and recordkeeping
- knowledge of principles and practices of basic office management
- Must be able to perform heavy work exerting in excess of 100 pounds of force occasionally, and/or in excess of 50 pounds of force frequently, and/or in excess of 20 pounds of force constantly to lift objects
- answer, screen and transfer inbound phone calls
- meet with parents at the ESL Welcome Center, including student enrollment, recordkeeping
- serve as interpreter/translator between students, school, home, and community in coordination with the Parent Liaison
- translate documents for the school system/schools in coordination with the Parent Liaison
- general clerical duties including photocopying, fax and mailing
- maintain electronic and hard copy filing system
- handle requests for information and data
- resolve administrative problems and inquiries
- prepare written responses to routine enquiries
- prepare and modify documents including correspondence, reports, drafts, memos and emails
- schedule and coordinate meetings, appointments
- prepare agendas for meetings and prepare schedules
- maintain office supply inventories
- coordinate maintenance of office equipment
- attend parent engagement activities at schools, as needed and in coordination with the Parent Liaison
