Job Summary
Maintain and organize physical and electronic legal files, records, and correspondence in accordance with department retention policies. Coordinate meetings, conference calls, and appointments for legal department personnel, while assisting attorneys with administrative support and special projects. Administer E-billing approvals and invoices on the Onit/SimpleLegal platform, liaise with Accounting, and prepare documents for live or e-signatures using Adobe Acrobat Sign. Manage departmental mailboxes, route inquiries, coordinate travel and expense reconciliation, and process purchasing requisitions in Oracle Applications. Scan, copy, fax, and print documents, and upload materials to SharePoint following specific folder conventions. Requires a high school degree, 3-5 years of office experience, and proficiency in MS Office Suite. This hybrid role supports the Chief Legal Officer and in-house attorneys within a fast-paced environment.
Required Qualifications
- High School Degree
- minimum 3-5 years of experience in an office setting
- Work experience as an Executive Assistant, Personal Assistant, or similar role
- Ability to manage multiple assignments, set priorities, and adapt to changing conditions

- Familiarity with Adobe Acrobat, Adobe Sign, SharePoint, Oracle, and willing to become subject matter expert on certain legal matter systems like Onit/SimpleLegal
- Outstanding organizational and time management skills
- Excellent English verbal and written communication skills
