Job Summary
Provide administrative support to the Director of Procurement Services by maintaining the Director's calendar, managing confidential files, and coordinating travel, meetings, and appointments. Prepare agendas, distribute minutes, and draft emails, letters, and presentation materials while screening calls and handling correspondence. Retrieve purchase orders, bid solicitations, and documents for Public Information Requests or audits, and assist with supplier management and eProcurement system tasks. Perform general clerical duties including p-card reconciliation, recordkeeping, and maintaining the department webpage. Respond to internal and external inquiries regarding procurement services and bid solicitations. Work 244 days with a salary of $38,788 CP6.
Required Qualifications
- High school diploma/GED
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Regular and reliable attendance
Desired Qualifications
- Minimum of two (2) years of administrative secretarial experience preferred
- Adobe, Google Drive, and eFinance Plus PowerSchool experience preferred
- Self-motivated with attention to detail, able to prioritize, organize, multi-task numerous complex administrative activities, and manage time with minimal supervision
- Possesses excellent interpersonal, organizational and communication skills, verbal and written
- Demonstrates integrity, confidentiality, and professionalism
- Ability to work with frequent interruptions; ability to maintain emotional control under stress
