Job Summary
Administrative Assistant II at Volunteers of America Los Angeles (VOALA) provides general office support including receptionist duties, filing, preparing client/worker folders, coordinating staff training and administrative events, inventory management, and handling mail/visitors. Responsibilities include answering phones, relaying messages, monitoring security, scheduling meetings/travel, supporting special projects, and maintaining positive relationships with program staff, clients, vendors, and the public. Requires an Associate's Degree in Business Administration/Management or related field (or 3 years related experience) and five years of office/clerical experience; BLS certification, fingerprint/background checks, TB/immunization records, and ability to work under emotional stress are required. Bilingual English/Spanish skills are preferred; California driver’s license and clean driving record are preferred. Mandated Reporter status applies to all employees.
Required Qualifications
- Associates Degree in Business Administration, Management, or related field; OR Three years of related experience.
- Five years of office and clerical experience
- Bilingual in English and Spanish (written and verbal) preferred
- Current California driver's license and clean driving record (preferred)
- Current BLS Certification (within 15 days of hire)
- Fingerprint clearance and background check
- TB screening and immunization records
- Ability to perform under emotional stress and with difficult clients
- Mandated Reporter status
- Completion of required trainings within specified timelines
