Job Summary
Provide administrative support and serve as the first point of contact for guests, visitors, and employees via phone, in-person, or email. Manage data for programs and activities, prepare correspondence, reports, bids, and documents, and maintain the electronic records filing system. Oversee departmental purchasing, including travel expenses and supplies, while coordinating events and travel arrangements. Assist with fleet vehicle maintenance and address complaints. Perform purchasing card reconciliation and review, and handle budget tracking and maintenance. Maintain a valid driver's license and insurable driving record. Work in an office environment with occasional outdoor exposure, including street, construction site, and vehicle travel, while adhering to safety policies.
Required Qualifications
- High School diploma or G.E.D. equivalency
- Two (2) years' experience in administrative support
- Valid driver's license
- Insurable driving record
- Knowledge of current office practices and equipment, including applicable software
- Knowledge of Microsoft Office Suite
- Knowledge of principles and practices of administrative functions and records management
- Strong organizational and communication skills
- Ability to handle multiple tasks simultaneously
- Ability to handle confidential information with discretion
- Adapting to changing priorities and deadlines
- Establishing and maintaining effective working relationships

- Strictly follow safety policies, rules, and safe work methods

- Refer callers or visitors to other services and/or resources when appropriate
- Perform administrative support functions for multiple departments and managers
- Manage data for programs and activities related to the organization
- Prepare correspondence, reports, bids, purchase orders, contracts, billing, and other documents
- Perform detailed budget tracking and maintenance
- Maintain the electronic records filing system
- Serve as a member of the agency-wide records liaison team
- Prepare agendas, meeting minutes, forms, reports, spreadsheets, tables, and other department-related documents
- Oversee departmental purchasing including travel-related expenses and supplies
- Perform purchasing card reconciliation and review
- Coordinate events and related travel arrangements
- Assist in maintaining fleet vehicles by addressing any complaints and scheduling required maintenance
- Work in an office or similar indoor environment
