Job Summary
Administrative Assistant to support Hypertec's Sales Operations in Scottsdale, AZ. Responsibilities include preparing, organizing, and submitting bid responses (RFQs/RFPs/RFIs), maintaining proposal templates and bid libraries, collaborating with sales, purchasing, and internal teams to gather information, communicating with customers to clarify requirements, tracking submission deadlines, and assisting with post-submission activities such as debriefs and archival documentation. Requires 2+ years in contracts/proposals or administrative roles, strong organizational and written/verbal communication skills, proficiency with Microsoft Office, and meticulous attention to accuracy and compliance. Required Qualifications
- 2+ years of experience supporting contracts, proposals, or administrative work in a professional office setting
- Strong organizational skills with the ability to manage multiple deadlines and high-volume documentation
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiar with document formatting and editing
- Detail-oriented with a strong focus on accuracy, compliance, and process improvement
