Job Summary
Coordinate meeting logistics, manage calendars, and arrange travel itineraries while maintaining secure records and efficient filing systems. Prepare correspondence, manuscripts, and grant applications; process vendor check requests, purchase orders, and expense reimbursements. Serve as an internal and external liaison with administrative departments, universities, and government funding agencies. Screen calls, answer inquiries, and organize seminars and special events including catering and venue reservations. Maintain accurate travel records and follow grant application procedures.
Required Qualifications
- Thorough knowledge of general concepts, practices and procedures of administrative support
- Personal computer operations and common office software including word processing, spreadsheet, bibliography, presentation graphics, email and other related applications
- Principles of record keeping
- English usage, spelling, grammar and punctuation
- Methods and procedures of data entry
- Skill in using a computer and applicable software programs
- Skill in maintaining databases
- Skill in performing routine mathematical calculations
- Skill in providing customer service
- Skill in preparing routine, standardized reports
- Skill in maintaining secure records
- Skill in coordinating meeting and/or event logistics
- Skill in maintaining schedules
- Skill in prioritizing activities
- Skill in understanding and following oral and written instructions
- Skill in maintaining organization and attending to details
- Skill in handling confidential material with discretion
- Skill in communicating effectively, both verbally and in writing
