Job Summary

The Administrative Assistant at AbilityFirst’s Pasadena-based center will manage front-office operations, coordinate communications, support regulatory and licensing documentation, assist with financial reporting, manage program documentation, and help welcome families, volunteers, and staff. Key duties include answering phones and guiding volunteers, scheduling meetings and interviews, preparing materials, leading tours for prospective families, handling event logistics, maintaining staff/participant files to meet licensing requirements, tracking staff certifications, supporting hiring/onboarding, managing office supplies and inventory, coordinating facilities with contractors, assisting with licensing audits and regulatory visits, supporting data entry in ProCare, handling donations and cash processing, and stepping into ratio supervision as needed. Required qualifications emphasize a high school diploma or equivalent, strong organizational and Microsoft Office skills, attention to detail, effective written and verbal communication, ability to assist with physical tasks, and the ability to obtain necessary certifications and clearances. The role requires flexibility to work evenings/weekends and to comply with mandated reporting and vaccination policies as outlined in the special conditions. Required Qualifications

  • A High School diploma or equivalent is required.
  • 1-2 years of experience as an administrative assistant, office coordinator, office manager, or any similar related job title is preferred.
  • Strong organizational and computer skills including Microsoft Office is required.
  • Must be detail-oriented and able to maintain accurate documentation is required.
  • Strong written and verbal communication skills is required.
  • Must be able to provide physical assistance including lifting or transferring participants if needed in program ratio is required.

  • Ability to obtain First Aid/CPR certification and clear background check (LiveScan).
  • Successful completion of background (LiveScan) check.
