Job Summary

Conduct reception activities, answer process and program-related questions, and route inquiries appropriately for the division. Schedule meetings, coordinate travel arrangements, and adjust activity calendars for work groups and individuals. Order and maintain inventory of office supplies, track expenditures, and ensure equipment operations through maintenance services. Assist in tracking accounts receivable and payable, manage petty cash, and prepare meeting agendas and minutes. Establish filing systems, proofread documents, and distribute correspondence while maintaining strict confidentiality. Perform mail pick-up and distribution, and maintain activity logs for work orders and service calls.

Required Qualifications

  • High School graduate or equivalent
  • Associate's degree
  • A minimum of two (2) or more years experience in an office setting
  • Modern office practices and procedures
  • Ability to communicate effectively both verbally and in writing
  • Skill to organize materials and present information clearly and concisely in verbal and written form
  • Ability to understand and follow verbal and written instructions
  • Proficient knowledge of the English language, proper grammar, punctuation and spelling
  • Ability to write routine reports and correspondences
  • Ability to read, comprehend and apply laws, rules, regulations, policies and standard operating procedures
  • Ability to read, comprehend and apply basic how-to documents and manuals
  • Ability to establish and maintain cooperative working relationships with fellow employees, representatives of other agencies and organizations and members of the community
