Administrative Assistant – Executive Office

Job Summary
Answer and direct phone calls, greet visitors, and provide professional assistance to staff, patients, and external partners. Coordinate complex scheduling for executive and physician meetings, prepare agendas and materials, and manage logistics and technology needs. Act as a liaison between the Executive Office and internal departments, vendors, and organizations to ensure timely communication and follow-up. Maintain confidential hospital records and executive files in compliance with HIPAA and privacy regulations. Prepare and proofread correspondence, reports, and meeting materials. Process invoices, expense reimbursements, and purchase requests using financial systems. Support meeting management for leadership committees by preparing packets, recording minutes, and tracking action items. Order office supplies, manage administrative inventory, and coordinate room scheduling for the Executive Boardroom. Anticipate leadership needs by prioritizing tasks and recommending administrative solutions to support operational efficiency.
Required Qualifications
- Bachelor's degree
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Proficiency with Zoom
- Must have, or be willing to obtain, a Pennsylvania Notary License
Desired Qualifications
- Experience with financial systems, including check requisition, invoice processing, or payment platforms
