Job Summary
Administrative Assistant to provide essential administrative and clerical support to help ensure the efficient day-to-day operations of the branch. Responsibilities include filing, data entry, document preparation, correspondence, answering calls and emails, maintaining records for customers/vendors/employees, scheduling and coordinating work orders, invoicing support and expense tracking, coordinating internal communications, organizing filing systems, assisting with safety/licensing/regulatory documentation, and greeting visitors. Requires high school diploma or equivalent and 1–3 years of admin/clerical experience; proficiency in Microsoft Office; strong organizational, written, and verbal communication skills; and ability to work independently and with a team. Desirable: experience in landscaping/construction/facilities services, Acumatica is a plus; bilingual (English/Spanish) a plus.
Required Qualifications
- High school diploma or equivalent
- 1–3 years of administrative or clerical experience in an office or operational environment
- Strong organizational skills with the ability to manage multiple tasks and priorities
- Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office equipment
- Attention to detail and accuracy in data entry and documentation
- Strong written and verbal communication skills
- Ability to work independently and collaboratively in a team environment
Desired Qualifications
- Experience working in landscaping, construction, facilities services, or a similar field-based industry
- Familiarity with scheduling, invoicing support, or customer service functions
- Experience supporting managers or field operations teams
- Basic knowledge of accounting, payroll, or HR administrative processes
- Bilingual (English/Spanish) a plus
