Job Summary
Manage client communications via phone and email while greeting appointments and maintaining positive public relations. Organize office supplies, equipment, and client documentation storage, then assist with assembling and electronically filing tax returns. Process client invoices, handle bank deposits, and ensure data integrity across multiple systems for accurate reporting. Coordinate meetings, events, and office lunches while collaborating with internal team members to facilitate smooth operations. Maintain professional presence and discretion when handling confidential information, demonstrating strong multi-tasking skills and adaptability to shifting priorities. This role requires overtime during peak tax deadlines in March, April, September, and October, including some Saturdays.
Required Qualifications
- Professional presence in dress, demeanor, and client interactions
- Strong proficiency in Microsoft Office with the ability to learn new software quickly
- Ability to communicate clearly and professionally as a key liaison between management, employees, and clients
- Willingness to cross-train on all administrative and operational responsibilities
- High attention to detail and accuracy, with strong grammar, spelling, and punctuation skills
- Proven discretion and comfort handling confidential information
- Strong multi-tasking skills and adaptability to shifting priorities
- Proactive problem-solver with the ability to find resources and identify solutions
- Commitment to attendance standards, including working overtime as needed during peak periods
Desired Qualifications
- Experience working in a CPA or tax firm
- Familiarity with tax season workflow and filing deadlines
- Experience with tools such as CCH Axcess, SafeSend, or similar systems
