Job Summary
Organize and manage routine work activities for the Central Administration Office while providing clerical support to the department director and staff. Prepare correspondence, forms, reports, and presentations; compile, maintain, and file all records and documents. Perform routine bookkeeping tasks, maintain budget records, process purchase orders and payment authorizations, and order office supplies and program equipment. Answer incoming calls, take messages, route communications, and maintain appointment schedules for department staff. Arrange meetings, prepare materials, set up facilities, and distribute mail and documents while maintaining information confidentiality. Monitor personnel time records including leave requests and submit reports according to district procedures.
Required Qualifications
- High school diploma or GED
- Proficient skills in keyboarding, data entry, word processing, and file maintenance
- Ability to use software to develop spreadsheets and databases and do word processing
- Ability to prioritize workflow to address the multiple needs of the supervisor or the department
- Ability to multi-task numerous complex administrative activities
- Basic math skills
- Effective communication and interpersonal skills
- ____ years secretarial experience
- Occasional light lifting and carrying (less than 15 pounds)
- May work prolonged or irregular hours
- Occasional districtwide travel
