Job Summary
Administrative Assistant in the CALS Senior Associate Deans’ Office at Cornell University provides high-level executive and organizational support to two Senior Associate Deans, with a primary focus on one, handling confidential inquiries, preparing briefing materials, drafting correspondence, supporting faculty processes (appointments, promotions, reviews), data compilation (faculty searches, hires, sabbaticals, departures), and policy/communications development. Responsibilities include calendar and travel coordination, event planning, dossier distribution, liaison work with university offices, and maintaining office operations and templates. The role requires strong written and oral communication, discretion, independent problem-solving, and the ability to manage multiple priorities in a hybrid on-site/on-campus environment.
Required Qualifications
- Associate's degree with 4 to 6 years of relevant professional work experience or an equivalent combination of education and relevant professional work experience
- Excellent oral and written communication skills
- Ability to maintain an elevated level of confidentiality
- Ability to interact effectively with the Senior Associate Deans and other Administrative Assistants
- Independent thinker who is self-motivated
- Prior knowledge of Cornell policies and procedures
- Ability to conduct a diverse set of tasks, respond to inquiries, and problem-solve with poise, confidence, and independence within a team-based environment
- Proven skills in project management and coordination
- Experience with Microsoft Word, Excel, and Outlook
- Ability to cultivate inclusive working relationships with students, faculty, staff, and community members
- Hybrid work arrangement with onboarding on-site for 30 days and then on-campus 4 days/week + 1 day remote per week
- Bachelor’s Degree as a bonus
- 5+ years’ experience in an upper-level academic setting
- Experience with Smartsheets, Trello, Workday, Interfolio, and other workplace management software platforms
