Job Summary
Administrative Assistant to the President and select senior members of the Development team in the Boston office. Key responsibilities include executive calendar management for the President, meeting preparation (agendas, minutes, action items), handling incoming/outgoing emails and calls, coordinating expenses and travel arrangements, providing general administrative support (filing, data entry, document management), coordinating meetings and events for senior Development team members, preparing reports and presentations, tracking timelines and deadlines for projects, liaising between teams to ensure smooth workflow, and supporting office events and vendor setup. Requires robust experience with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), exceptional organizational and communication skills, discretion with sensitive information, and a professional, proactive attitude.
Required Qualifications
- High school diploma or equivalent; Associate’s or Bachelor’s degree preferred
- 2–3 years minimum administrative experience in a corporate office environment
- Extensive experience with executive support duties, including complex calendar management, scheduling, and expense tracking
- Advanced proficiency in Microsoft Office Suite: Outlook, Word, Excel, PowerPoint
- Strong organizational skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- High attention to detail and accuracy under deadlines
- Ability to handle sensitive information with discretion and professionalism
- Self-motivated, proactive, and solutions-oriented
