Job Summary
Admin Support / Project Information Specialist to provide mid-level administrative, project information, and records management support for USTDA's Information Resource Center operations; responsibilities include developing policies, managing records systems, travel management, facilities coordination, preparing presentations/reports, supporting conferencing/training facilities, reviewing grant/contract deliverables, generating programmatic/operational/financial reports, and training staff; requires Bachelor's degree and 7+ years of experience in administrative management, information management, office operations, or related fields; strong written and verbal communication, ability to manage multiple assignments, high attention to detail, and proficiency with Microsoft Office and records management tools; on-site work.
Required Qualifications
- Bachelor's degree in Business Administration, Information Management, Public Administration, Communications, or a related field (or equivalent relevant education and experience as permitted by contract)
- Minimum 7 years of professional experience in administrative management, project support, information management, office operations, or a closely related functional area
- Demonstrated experience in at least three of: records and information management, office management, facilities coordination, travel management, human resources support, budget or finance administration, security administration support, or program and project reporting
- Strong written and verbal communication skills with the ability to prepare professional correspondence, reports, presentations, and documentation
- Proven ability to manage multiple assignments, prioritize effectively, and resolve complex administrative and operational issues independently
- High attention to detail, sound organizational skills, and the ability to maintain accuracy in document control, reporting, and records systems
- Strong customer service mindset and ability to interact professionally with agency personnel, leadership, vendors, and stakeholders
- REQUIRED TECHNICAL SKILLS: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Document and records management systems, including SharePoint or similar collaboration platforms
- Adobe Acrobat or similar PDF editing tools
- Audiovisual and conference room technologies; reporting tools and spreadsheets for program, financial, or administrative tracking
- PREFERRED QUALIFICATIONS: Experience supporting federal government administrative or information management operations, including records retention requirements and administrative compliance practices
- Prior experience supporting conference, boardroom, or training environments with on-site technical troubleshooting and deliverable review
- PHYSICAL REQUIREMENTS: Ability to work on-site as required by the contract
