Job Summary
Administrative Specialist provides high-level administrative, operational, and project support to the AVP for Advancement and the AVP for Development Communications & Strategy to advance fundraising, donor communications, engagement initiatives, and strategic advancement priorities. This role supports executive calendars and meeting management, travel logistics and expenses, budget tracking, records of meetings, donor engagement materials, and preparation of leadership reports and board-ready materials. Responsibilities include coordinating meetings, preparing briefing materials, managing travel itineraries, handling confidential donor information, developing presentations, compiling prospect or meeting briefings, supporting proposal development, and coordinating with multiple Advancement teams to support campaigns and events.
Required Qualifications
- Associate’s degree required, with a minimum of four years of progressively responsible administrative or executive support experience
- Bachelor’s degree preferred with three to five years of relevant administrative or executive support experience, ideally in higher education, advancement, or a similarly complex organizational environment
- Equivalent combination of education and professional experience may be considered
- Experience supporting senior leaders, volunteers, trustees, or advisory boards strongly preferred
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, required
- Demonstrated ability to exercise excellent judgement, professionalism, and discretion in handling highly confidential and sensitive information, and in communicating with trustees, senior leadership, donors, and other internal and external stakeholders
- Exceptional organizational, coordination, and project management skills, with strong attention to detail and the ability to manage multiple priorities simultaneously
- Ability to work independently, communicate effectively with diverse internal and external constituents, and operate accurately in a fast-paced environment
- Demonstrated adaptability and eagerness to learn new technologies and business processes
- Experience with Salesforce and/or Workday or other enterprise CRM or administrative systems preferred
