Job Summary
Meet and greet all visitors, clients, and sub-contractors professionally, ensuring they sign in and receive visitors passes while maintaining a clean, immaculate reception area. Operate the switchboard to answer calls within three rings, record caller details, and direct inquiries to the correct department. Provide administrative support by filing, photocopying, sorting correspondence, taking messages, and processing daily reports including booking errors and detention reports by 2:00 pm. Liaise with clients and subcontractors to resolve delivery issues, escalate incidents to Fleet Management, and assist the Customer Services Department with accurate client bookings. Ensure compliance with company policies and work health and safety responsibilities while attending one-on-one meetings as required.
Required Qualifications
- Ability to provide high quality customer service when greeting visitors in person
- Proficiency in addressing clients, visitors, and sub-contractors to the highest standard
- Ability to ensure the reception area is professionally maintained at all times
- Ability to maintain Capital Group's corporate image
- Ability to meet and greet visitors, clients, and sub-contractors in an efficient, friendly, and professional manner
- Ability to ensure all visitors sign into the visitors book and are provided with a visitors pass
- Ability to carry out general office duties including filing, photocopying, and sorting incoming and outgoing correspondence
- Ability to operate the switch board and answer all incoming calls within three rings
- Ability to accurately record and relay caller information including name, company, reason for call, and contact details
- Ability to take accurate and detailed messages
- Ability to perform word processing duties
- Ability to prepare reports as required
- Ability to price airline and country jobs accurately by 10.30 am each day
- Ability to run and process all daily reports by 2.00 pm each day
- Ability to print and collate new Driver Packs as required
- Ability to sort and distribute incoming and outgoing mail daily
- Ability to assist the Manager with end of period tasks
- Ability to take client bookings efficiently and accurately with no more than 1.5% booking errors per day
- Ability to use the 'Make Busy' telephone option for breaks and work-related tasks
- Ability to liaise between the client, end customer, and sub-contractor to resolve delivery problems and anomalies
- Ability to escalate issues to the appropriate Department when unable to resolve them
- Ability to prepare and process reports for the business as required
- Ability to ensure all data entry requirements are accurately completed without unnecessary delay
- Ability to escalate any incidents to the Fleet Management Department without delay
- Ability to attend one on one meetings with the Manager as required
- Ability to effectively communicate with colleagues and sub-contractors
- Ability to advocate co-operation with other departments
- Ability to ensure written and verbal communication with clients, colleagues, and sub-contractors is always professional and courteous
- Ability to assist with any reasonable tasks requested by the Manager
- Ability to notify the Manager if additional training is required
- Ability to use work time and resources for work activities
- Ability to ensure compliance with Capital Group's Company Policies at all times
- Ability to ensure compliance with Work Health and Safety (WH&S) responsibilities
- Ability to cooperate with Capital Group in relation to activities undertaken to comply with WH&S and National Heavy Vehicle legislation
- Ability to undertake all relevant training to carry out responsibilities in line with CG's policies and procedures and legislative requirements
- Ability to perform roles effectively to manage Chain of Responsibility (COR) risks
- Ability to ensure actions or inactions do not cause or contribute to road safety breaches
- Ability to report any potential or actual breaches of CG policies and procedures immediately to the Manager
- Ability to take reasonable care for own health and safety and the health and safety of others in the workplace
- Ability to not wilfully or recklessly interfere with or misuse anything provided in the interest of environment health and safety or welfare
