Job Summary

Admin Assistant provides day-to-day logistical and operational support for the Medical Screening Program under the Director of Corporate Services. Responsibilities include monitoring incoming fax/eFax communications, coordinating with vendors, reviewing and assembling medical records and clinical review packets, identifying missing documentation, supporting billing duties and outstanding invoices, maintaining spreadsheets, and communicating professionally with providers, clinics, patients, and internal stakeholders. The role requires independent problem solving, attention to detail, strong follow-through, and customer service skills. Proficiency in Microsoft Excel and the ability to learn proprietary software (XstremeMD Inspect) are essential. The position is full-time and remote following an initial in-person training period (training may occur at the office or another approved location). The work involves fast-paced administrative duties with engagement from external stakeholders and internal teams.

Required Qualifications

  • Advanced proficiency in Microsoft Excel
  • Excellent verbal and written communication skills
  • Ability to learn proprietary software systems
  • Experience with medical records, billing, healthcare administration, or provider relations preferred
  • Experience using eFax systems or similar document management systems preferred
  • Strong organizational, time management, and self-discipline skills
  • Ability to work independently in a remote environment
