Job Summary
Provides diverse administrative support to executives, including greeting and directing visitors, managing complex calendars, scheduling internal and external meetings, booking conference rooms, coordinating travel logistics (flights, visas, itineraries), processing expense claims and invoices, onboarding new hires/transferees, and supporting events and office operations. Requires discretion, strong written and verbal communication, and a proactive, collaborative approach. Experience in a financial institution is highly preferred. A High School Diploma or GED or equivalent is required.
Required Qualifications
- At least 3 years of relevant experience providing support to a team of executives
- Prior financial institution experience is highly preferred
- Excellent communication and organizational skills, with the ability to interact effectively with senior management
- Ability to work collaboratively under tight deadlines with minimal supervision, and flexibility to work extended hours or weekends when needed
- Self-motivated with a proactive mindset, capable of handling a wide range of responsibilities independently while contributing as a team player
- Fluent in English and Chinese; proficiency in Mandarin is an advantage
