Admin Assistant /Customer Service

Job Summary
Admin Assistant / Customer Service role supporting multiple departments in a fast-paced, team-focused environment. Responsibilities include CRM data entry and updates (Service Titan), creating and reviewing invoices, processing paperwork for new installs (warranty registrations and rebates), following up on leads and proposals, making cold calls to customers, scheduling service and sales appointments, managing service agreements/renewals, and maintaining detailed notes and documentation. Requires proficiency with QuickBooks, Excel, Word, and Microsoft Teams, strong communication with customers/vendors/employees, and a proactive, self-motivated attitude. HVAC awareness is a plus.
Required Qualifications
- Proficiency with QuickBooks, Excel, Word, and Microsoft Teams
- Ability to communicate professionally with customers, vendors, and employees
- Experience or familiarity with CRM systems (ServiceTitan preferred)
- Ability to create and review invoices and process paperwork for new installs (including warranty registrations and rebates)
- Strong organizational skills, attention to detail, and the ability to follow through
- Comfort with cold calls and lead follow-up
- Ability to schedule service and sales appointments and manage service contracts
- HVAC awareness preferred but not required
