Job Summary
Administrative Assistant support to a group of lawyers/legal assistants, hybrid role with on-site Montreal presence 5 days/week. Responsibilities include billing tasks, sending invoices, drafting ethical screens, expense reporting, Chrome River Invoice processing, document management (iManage/Box), reprographics, booking stenographers, reception coverage, client and visitor coordination, electronic document filing, and maintaining confidentiality. Requires bilingual French-English, strong MS Office skills, meticulous organizational abilities, ability to handle multiple tasks in a dynamic environment, and collaboration across Canada/US teams.
Required Qualifications
- Diploma in secretarial studies or equivalent
- bilingual French and English
- minimum 3 years relevant experience in legal or professional services
- proficiency in Microsoft Office (Excel, Word, Outlook)
- attention to detail and organizational skills
- ability to manage multiple tasks and meet deadlines
- autonomy and teamwork
- confidentiality
- experience with document management and invoicing software
