Job Summary
Maintain AP files and match invoices against receiving documents and purchase orders while monitoring outstanding invoices to prevent duplicate payments. Prepare and distribute vendor payments on a timely basis, ensuring appropriate general ledger accounts are charged and purchase orders are closed properly. Monitor compliance with HUD, federal, state, and local rules; report to the Executive Director on regulatory impacts. Establish working relationships with employees, vendors, and contractors; attend required meetings and provide timely customer service via phone, email, and correspondence. Handle confidential matters with discretion and perform other duties as assigned.
Required Qualifications
- A high school diploma/GED
- Valid driver's license
- Reliable transportation
- Must be insurable under CHA's automobile insurance
- Must be bondable
- Knowledge of local, state, and federal laws governing the CHA's financial practices
- Strong interpersonal skills
- Effective communication ability, both orally and in writing
- Ability to prepare and interpret comprehensive, accurate and concise reports and data
- Ability to communicate with people from a broad range of ethnic and socio-economic backgrounds
- Ability to work independently and in-group settings
- Sound judgment in decision-making and problem solving
- Knowledge of CHA policies and practices relating to accounts payable, purchasing, internal controls, and financial administration
- Knowledge of financial and accounting practices and transactions
- Knowledge of federal, state, and local government financial reporting requirements
- Skills in reviewing, examining, and evaluating accounting and financial practices
- Ability to coordinate accounting and financial operations
- Level of manual dexterity sufficient to allow for operation of office equipment
- Ability to move, handle, or lift small objects around desk area
- Ability to lift boxes up to 20 pounds
- Demonstrated proficiency at Microsoft Word
- Demonstrated proficiency at Microsoft Excel
Desired Qualifications
- Graduation from an accredited college or university with a BA/BS degree in Accounting or Business Administration
- A minimum of three years' experience in AP field
- Any equivalent combination of education, training, and experience which, in the sole determination of the CHA, provides the required knowledge and abilities
