Job Summary
Accounts Payable & Payroll Specialist role in an in-office setting (Carlsbad, CA) spanning AP, vendor management, expense processing, payroll administration, 1095 ACA reporting, and HR/file maintenance. Responsibilities include processing invoices and vendor payments via Ramp and QuickBooks Online, ensuring W-9s for 1099s, reconciling credit card receipts, handling A/R deposits, preparing monthly/weekly financial schedules and audit support, and maintaining HR records with strict confidentiality. Requires a Bachelor's degree, 2+ years in nonprofit accounting or similar, proficiency with QuickBooks Online and Ramp, GAAP knowledge, strong Excel skills, and ability to complete background checks (LiveScan, Criminal Record Certification, and Child Abuse Index). This is a part-time, in-office position Monday-Friday around 28 hours per week, with emphasis on accuracy, organization, and cross-functional collaboration.
Required Qualifications
- Bachelor's degree required
- Minimum 2 years of accounting experience (accounts payable and payroll)
- Experience with QuickBooks Online, Ramp, or similar platforms
- Understanding of GAAP and standard accounting practices
- Proficiency with Microsoft Office Suite (Excel)
- Familiarity with payroll systems (Coastal, ADP, Paychex, or similar)
- Ability to prepare journal entries and financial schedules
- Excellent written and verbal communication
- Ability to maintain confidentiality and handle sensitive information
- LiveScan background check, Criminal Record Certification and Child Abuse Index Check
