Accounts Payable Associate

Job Summary
Review and process vendor invoices through three-way matching, coding them to general ledger accounts, and resolving discrepancies with vendors and internal departments. Prepare and execute payments via checks, ACH, and wire transfers while reconciling vendor statements and monitoring cash flow. Serve as the primary contact for vendor inquiries, manage vendor master records, and ensure all documentation, including W-9 forms, is complete and compliant. Support month-end closing activities, prepare aging reports, and assist with internal and external audits. Maintain accurate records and adhere to strict confidentiality regarding financial data. Work 40 hours per week with flexibility for overtime and weekend shifts as needed.
Required Qualifications
- High school diploma or equivalent
- 2+ years of experience in Accounts Payable
- Associate's degree in accounting or finance or related field preferred
- Analytical skills to evaluate trend data and provide solutions
- High attention to detail
- Ability to maintain discretion and absolute confidentiality
- Maturity in handling sensitive accounting information
- Aptitude for learning new technologies
- Computer knowledge and efficiency, proficiency in Excel, Word, and Outlook
- Ability to interact professionally with internal and external customers
- Strong written and verbal communication skills
- Strong data entry skills, with expert accuracy and attention to detail
- Utilizes judgment to respond appropriately to situations, using calmness, conciliation, assertiveness, and professionalism
- Ability to work in a team environment and initiative to work alone
- Flexible attitude and acceptance of change
- Requires mobility within an office environment
- Regularly required to talk and hear
- Effectively communicate with others both written and orally, including using the telephone
- Prolonged periods sitting at a desk and working on a computer

- Possess good hearing, normal or corrected
- The employee must be able to regularly lift and/or move up to 50 pounds

- Must be able to work 8 hours a day, 40 hours per week, and overtime as required and night or weekend shifts, as needed
Desired Qualifications
- Associate's degree in accounting or finance or related field preferred
- 2+ years of experience in Accounts Payable experience required (construction, asphalt paving, aggregates, or materials inventory strongly preferred)
- Must be able to work 8 hours a day, 40 hours per week, and overtime as required and night or weekend shifts, as needed
