Job Summary
Reporting to the Commercial Supervisor, this hands-on role partners with internal teams to ensure smooth day-to-day operations, strong coordination, and timely execution of key administrative functions supporting facilities maintenance. Key responsibilities include coordinating facilities management (maintenance, security systems, site services), managing fixed assets (asset allocation, records, annual stocktakes), supporting Capex processes (budget tracking, requests, approvals), providing Accounts Payable support (Doxis, supplier setup, reconciliations), maintaining the motor vehicle register (fleet tracking, audits, insurer liaison), overseeing office supplies and branch administration, assisting with expense claims and timesheet processing, supporting Who’s On Location (WOL) management and contributing to the HSE committee, and offering ad-hoc support to Commercial and Service Administration teams. The role requires Certificate IV in Business Administration or at least 3 years of administration experience, exposure to invoicing, CAPEX, and Accounts Payable, strong attention to detail, effective communication with stakeholders, multi-tasking ability, and excellent customer service.
