Job Summary
Prepare and process exchange documents for relinquished and replacement properties, reconcile daily deposits and fees, and maintain the Exchange Dept Whiteboard system in Excel. Check incoming mail and courier deliveries, answer phone messages, and respond with appropriate action while scanning documents for electronic storage. Calendar important dates, monitor Outlook reminders, and communicate with clients and escrow officers to obtain necessary signatures and closing packets. Prepare 45 ID Packets, refund packets including Form 593, and mailing materials for clients. Requires basic Microsoft Office skills, strong customer service orientation, and bilingual English/Spanish is a plus.
Required Qualifications
- Basic knowledge of Microsoft Office with emphasis on Excel and Outlook
- Project a businesslike professionalism to the client in both appearance and manner
- Strong customer service orientation, and a willingness to place the customer first
- Strong written/verbal communication skills
- Excellent organizational/time management skills
- Basic skills in computer terminal and personal computer operation
- Word processing and spreadsheet software skills
- Ability to work with minimal supervision while performing duties
Desired Qualifications
- Bilingual in English and Spanish
- 2 -3 years of office or customer service experience
- Experience in industries familiar with real estate or tax transactions, such as 1031 Exchange, Escrow, Title, Paralegal, Law Office or Accounting firms
